Why I Built an Email Assistant for People Who Run More Than One Company

I run more than a dozen companies. My inbox was the most expensive employee I had. Here is what I built to fix it.

I run 13 companies. Gas stations, convenience stores, car washes, a construction company and a handful of development LLCs. Each one has its own bank, its own CPA requests, its own city portals and its own vendors. All of it lands in my inbox.

For years I handled it the way most owners do. I deleted. Every morning, every night, 250 emails a day, one swipe at a time. Receipts. Listing blasts. Portal notifications. Vendor promotions. Somewhere in that pile were the emails that actually mattered.

The problem was never the volume

Volume is annoying. Missed deadlines are expensive.

A loan payment notice looks like every other bank email. A feasibility period expiration sits in a thread with a broker who also sends me weekly listings. A partnership extension that needs my signature is buried in a long CPA email about something else. None of these are hard to handle. They are just hard to see.

I tried the usual tools. Filters work until a sender changes their address or sends two kinds of mail. Other inbox tools sort by sender, which fails when the same broker sends you both a deal and a blast. And nothing I tried would tell me what was due.

What I built

So I built my own. It checks my inbox every 10 minutes. It reads each message, not just who sent it. Mail from people I actually correspond with stays put. Everything else goes into folders. Nothing gets deleted.

Then, every morning at 6, it sends me one email. Every deadline it found, ranked by what it costs if I miss it, and labeled by company. Every person who still owes me a reply, and for how many days. A calendar file I can open with one tap.

Any deadline that mentions a wire or a change of bank details gets a warning to verify by phone. In real estate that line alone is worth the price.

Why I am selling it

I showed it to other owners and brokers I work with. Everyone asked the same question: can I have it?

So Declutter.ai is now a product. It works with Gmail, Yahoo, iCloud, Outlook.com and any IMAP inbox. Microsoft 365 is next. It costs $8 a month for one inbox, or $19 a month for up to five. That is less than the tools I tried, and it does more of what an owner actually needs.

If you run more than one company, try it for 7 days. If it does not give you back an hour a day, cancel. Your folders stay where they are.
